ABOUT THE POSITION
The City of Gilroy is recruiting for enthusiastic and energetic Office Assistant I to support our newly established Utilities Department. This is an exciting opportunity to be a part of something groundbreaking for our agency and for the Gilroy community. As an Office Assistant, you will play a pivotal role in the day-to-day operations and be the backbone for all administrative efforts and providing stellar support for the team. The Office Assistant will work under the direct supervision of the Utilities Director and will also assist the Management Analyst with data quality and reporting. The Office Assistant must be highly organized, detailed oriented, and efficient and effective with the use of their time. Additionally, the person filling this position must be self-motivated, self-directed, committed to providing quality results. The work environment is both supportive and fast paced. Having an approachable and friendly demeanor along with excellent customer service skills is vital to this position.

  • Have experience working in a public sector office setting or a utilities environment.

  • Have excellent customer skills and ensure a welcoming environment for both the residents of Gilroy and internal customers.

  • Truly enjoy performing administrative and clerical support work.

  • Demonstrate dedication, be self-motivated, and have a work style that supports teamwork, collaboration and positive relationships that will complement the City of Gilroy environment and customer service goals.

  • Have a positive "can-do" attitude with a friendly and approachable demeanor when interacting with others at work.

  • Possess great organizational and prioritization skills and be detailed oriented with excellent time-management skills.

  • Be technologically savvy with strong computer skills (Microsoft Office Suite) and experience with specialized software database systems.

  • Have stellar written and verbal communication skills.

  • Be flexible and adaptable to changing priorities and Interruptions throughout the workday.

  • Excel in a fast-paced, demanding work environment and able to take on new tasks with minimal training.

  • Anticipate the needs of customers, as well as internal team members, in getting the job done.

  • Have a solid track record of being reliable and dependable - at work and on time each day.

  • Be energetic and excited to perform assigned work and open to accepting new challenges.

  • Make a commitment to the Office Assistant position and department for at least three years given the training and orientation involved with this position.


QUALIFICATIONS



  • Any combination training and experience equivalent to high school diploma or G.E.D. and six (6) months of experience in clerical office work.

  • Keyboard at least 40 net words per minute (testing may be required at any stage of the selection process).

  • Possess and maintain a valid California Driver's License and a safe driving record if the nature and duties of the job necessitate driving.

  • Pass a post-offer medical examination, which includes a drug test.

  • Pass a Department of Justice criminal record check for employment.

  • Prefer non-tobacco user.

  • Bilingual English/ Spanish highly preferred, but not required.
